Booking & Cancellation Policy

These terms apply to bookings made with Northern Yachting AS, including experiences operated under Tromsø Pure, unless otherwise agreed in writing.
Booking
Bookings can be made through our website, by e-mail, by phone, or through an authorised travel agent, hotel or booking partner.
- The person making the booking must be at least 18 years old and accepts financial responsibility for the booking on behalf of all participants.
- When booking on behalf of others, you are responsible for ensuring that all participants are informed of these terms.
- A booking is confirmed once written confirmation has been issued by Northern Yachting AS and any required payment or deposit has been received.
Payment
Group Day Tours
Full payment is required at the time of booking unless otherwise agreed in writing.
Private Day Tours
Full payment is required at the time of booking unless another payment schedule is stated in the booking confirmation.
Multi-Day Group Tours
- A 10% deposit is required to confirm the booking.
- The remaining balance must be paid no later than 90 days before departure.
- Bookings made 90 days or less before departure require full payment at the time of booking unless otherwise agreed in writing.
Private Multi-Day Tours & Tailor-Made Packages
- A 30% non-refundable deposit is required to confirm the booking.
- The remaining balance must be paid no later than 90 days before departure.
- Bookings made 90 days or less before departure require full payment at the time of booking unless otherwise agreed in writing.
Cancellation by the Customer
All cancellations must be made in writing by e-mail. The cancellation date is the date and time Northern Yachting AS receives the written cancellation.
- Any documented non-refundable costs already committed to third-party suppliers specifically for the booking may also be deducted from any refund otherwise due.
- For particularly complex, high-value or tailor-made journeys, specific payment and cancellation conditions may be stated in the quotation or booking confirmation.
Group Day Tours
- More than 24 hours before departure: 100% refund
- 24 hours or less before departure: no refund
Private Day Tours
Private tours reserve the vessel and crew exclusively for the Customer and are therefore subject to stricter cancellation terms.
- More than 90 days before departure: 100% refund
- 60–90 days before departure: 50% refund
- Less than 60 days before departure: no refund
Multi-Day Group Tours
Multi-day tours reserve capacity across several days and may involve advance planning, crew commitments and other services.
- More than 90 days before departure: 100% refund
- 90 days or less before departure: no refund
Private Multi-Day Tours & Tailor-Made Packages
Private multi-day tours and tailor-made journeys require significant advance planning and may involve reservations of vessels, accommodation, transportation, guides, activities and other services.
- The 30% deposit paid at the time of booking is non-refundable.
- More than 90 days before departure: any amount paid above the 30% non-refundable deposit will be refunded.
- 90 days or less before departure: no refund
Changes or Rescheduling by the Customer
- Requests to change the date, number of participants, itinerary or other significant elements of a confirmed booking are subject to availability and must be approved by Northern Yachting AS.
- Significant changes may be treated as a cancellation and a new booking.
- Any additional costs or non-refundable third-party expenses resulting from a requested change will be charged to the Customer.
Weather, Safety & Changes by Northern Yachting AS
Safety is always our highest priority. Northern Yachting AS reserves the right to delay, modify, reschedule or cancel a tour when necessary due to circumstances including:
- Unsafe weather or sea conditions
- Technical or mechanical problems
- Crew illness
- Port or authority restrictions
- Insufficient bookings on scheduled group tours
- Other circumstances beyond our reasonable control
Where possible, we will first make every reasonable effort to provide a suitable alternative. This may include a change of route, departure time, activity, itinerary or departure date.
Weather and Sea Conditions
Weather and sea conditions in Northern Norway can change rapidly and are an inherent part of travelling in the Arctic. The Captain has final authority regarding the safe operation of the vessel. If weather or sea conditions prevent the original itinerary or activity from being carried out safely, Northern Yachting AS may provide an alternative route, destination or activity. Reasonable changes to the itinerary, route, duration, departure time, destination or activity due to weather, sea conditions, safety considerations or wildlife movements do not automatically entitle the Customer to a refund or price reduction. For example, if snorkeling cannot safely be carried out but the vessel can operate and an alternative wildlife or Arctic experience can be provided, the tour may continue without a refund being issued. If weather or sea conditions make it impossible to operate the tour at all, we will first make every reasonable effort to reschedule the booking or offer another suitable alternative. If no reasonable alternative or rescheduled departure can be provided, any refund will be assessed based on the circumstances of the booking. Northern Yachting AS may retain documented, direct and non-recoverable costs already incurred or committed specifically for the booking.
Technical Problems or Circumstances Within Our Responsibility
If a tour is cancelled because of technical or mechanical problems, crew illness or another operational circumstance within Northern Yachting AS' responsibility, we will first attempt to provide a suitable replacement, alternative experience or rescheduled departure. If no reasonable alternative can be provided, the amount paid for the cancelled Northern Yachting service will be refunded. Northern Yachting AS is not responsible for additional travel expenses resulting from changes or cancellations, including flights, accommodation, transportation or missed connections.
Wildlife & Natural Phenomena
Wildlife and natural phenomena cannot be guaranteed. This includes, but is not limited to:
- Orcas
- Whales and other wildlife
- Northern Lights
- Wildlife behaviour or proximity
Failure to observe a specific animal or natural phenomenon does not entitle the Customer to a refund provided the booked experience has otherwise been carried out. Routes and search areas may be changed based on wildlife location, weather, sea conditions and safety.
Orca Snorkeling – Safety & Participant Responsibility
Snorkeling with orcas takes place in cold Arctic waters and in the natural environment of wild animals. Participation in the water is always subject to the professional judgement of the Captain and guides and may depend on weather, sea conditions, visibility, currents, wildlife behaviour and the participant's suitability for the activity.
- All participants must attend the required safety briefing.
- Participants must use the required safety equipment and follow all instructions from the Captain, guides and crew.
- The Captain or guides may refuse, postpone or end snorkeling activities where conditions are considered unsafe or inappropriate.
- Orcas are wild animals. Their presence, behaviour and proximity cannot be predicted or guaranteed.
- Entering the water or having an underwater encounter with orcas can never be guaranteed.
- If snorkeling cannot safely or responsibly be carried out, the itinerary or activity may be changed in accordance with Section 5.
No-Shows & Late Arrival
No refunds are given for no-shows, missed departures or late arrival. Guests are responsible for arriving at the confirmed meeting point at the stated time. For private tours, we may be able to delay departure at our discretion. A delayed departure does not automatically extend the scheduled duration of the tour.
Travel Insurance
We strongly recommend that all guests have comprehensive travel insurance. Travel insurance should include appropriate coverage for circumstances such as:
- Illness or injury
- Trip cancellation
- Flight or transportation delays
- Missed connections
- Weather-related travel disruption
- Other unforeseen circumstances affecting the Customer's ability to travel
Cancellation due to illness, travel disruption, missed connections or other personal circumstances remains subject to our standard cancellation terms. Where reasonably possible, Northern Yachting AS will provide booking and cancellation documentation for use in an insurance claim.
Third-Party Services
Some tours and private packages may include services provided by third-party suppliers, such as accommodation, transportation, restaurants, guides or activity providers. Where documented non-refundable costs have already been committed to third-party suppliers specifically on behalf of the Customer, these costs may be deducted from any refund otherwise due. Bookings made through travel agents, hotels, DMCs or other booking partners may be subject to separate terms agreed with the relevant partner.
